Recently, I had a client tell me I need to share more about the tech I use and why. I’ve always considered myself to be an early adopter, and if I look back, it runs in the family. Because of this, I find myself wanting to try out things early so that I feel like I got in on the ground floor, and so I feel like I’m a couple of steps ahead. I have bitten off quite an ambitious set of goals, and there are a number of technologies that I use on a weekly or daily basis that are responsible for allowing me to pack so much into so little time. Business is all about finding leverage with your time, and I guarantee you’ll find some below…

So today, in less than 5 minutes, I’ll give you:

Let me start with this - if for whatever reason you’re still one of those AI-fearing individuals that is scared to embrace it because of what might come of it and the uncertainty you feel like it brings, I get it, and I don’t invalidate your point, but you’re already leaps and bounds behind and you’ll never compete in the world of business with that attitude.

Your days are quite literally numbered, and you will wake up one day to your entire business having been reimagined and done better and more efficiently by a competitor you may not have even seen coming who didn’t have the same reluctance.

It may sound harsh, but it is also the truth…

Now that we have that out of the way, here’s my big 3:

1. (Duh) Chat GPT 4.0 (Premium):

You don’t HAVE to use the premium version, but I will say I use it almost every day. If you also find yourself using it almost every day, why not have the most efficient, best and brightest version on the case? The thing that really stands out about using the premium version of GPT is that there are many, many custom versions you can search from and use any time. To give some examples of ones I’ve used recently - I needed to get the basis of a new partnership document created so I literally used a Lawyer GPT and it advised me on things to consider and add to the contract as it created it for me. I also used one called “Private Equity Managing Director” recently that helped me plan a detailed agenda that was full of best practices for a meeting with my business partner that I’m working on a PE roll-up with. The use cases of custom GPT’s are unlimited. This is such an extreme time saver in my business that I can think of multitudes of times that I’ve taken on more work just knowing it’ll be easy with 5 minutes of GPT. This one is a must be on.

2. Loom:

The meeting skipper - this is one of my favorites as well. This is an application you install on your computer and/or phone that allows you to screen share while also having a camera showing you and talking. The real game changer is that as soon as you finish recording it, it automatically creates a URL with the recording that you can send to anyone and alerts you via email when people view it. It’s simple, but the way you use it matters. There are 2 really key ways I recommend using it for maximum impact. Imagine a scenario where you have an employee that you need to assign a task to. They are a remote employee and this is something they haven’t done before and will need to do regularly after doing it once. It’s a simple task that you could talk through in 5 minutes while showing it if they were just there with you. Would you rather call a meeting where you catch up and spend half an hour going through it, or just spend 5 minutes creating a little guide video on your own that you send to them and that they can save and refer to whenever they have questions about how to perform the task in the future? Yeah, pretty clear why it’s a game changer. Not only did it save you 25 minutes once, but it will probably save you many more times of them asking you about little details and distracting you from whatever you’re working on. Also, they could use that little recording as a training to train others to do the same task. Doing this many times begins to build out the actual internal value of your business, because it takes your valuable knowledge out of your head and makes it accessible to all in the business.

3. Fathom Note-Taker:

I lost count a long time ago of how many people I’ve gotten to start using this one. This one has been a night and day difference maker for me. What it does is it automatically joins any video call you get on across Zoom, Google Meet, or Microsoft Teams as an extra attendee, and it records the entire call. It then uses AI to summarize the call based on the transcript it creates of the entire conversation. I’m sure you can already imagine the usefulness of this, but we humans are forgetful and distracted people. The simplest use is just to remind yourself of what was said and decided on in the meetings you have. I personally reference the recordings I have very regularly. For any client calls I have, I always go back and look at the last call we had in preparation, so that I can refresh myself on what was said and decided and where we will be picking up the conversation. That way, instead of spending 15 minutes trying to get caught up, we begin there. This simply keeps me way more productive too, because any time there is “homework” for someone after a meeting, I can look back and see exactly what it was. It keeps me more present in the meetings too, because instead of worrying about taking notes, I am all in on the conversation, knowing that my notes are being taken for me. Imagine how much it would cost to pay someone to be on every meeting with you taking notes. They probably also wouldn’t catch every single word said and summarize it quite so simply as this does. No brainer.

There are of course more that I use, but these are a few that I use most and that can be most broadly used by anyone. I encourage you to adopt them as soon as possible, learn how to use them, and begin saving yourself time in your business. Whether you’re trying to be more productive, or just trying to get some of your personal time back from your business, these will help you do it.

Don’t be afraid of AI. Embrace it, and thank it for the amount of your time it gives you back if you use it right. After all, time is your most valuable resource. Once it’s gone, it’s gone. So save some, and use it how you want to.
